Code of Conduct

Kitacon Events Committee Ltd. is a professional, not for profit convention. To avoid any misunderstandings about what kind of behaviour is acceptable at an event as big as Kitacon, you are advised to read and follow this code of conduct.

Keep in mind that these rules apply throughout the convention, including early arrival and late departure dates.

Rule Number One

The following general rule supercedes all others below and may be invoked at any time.

Any action or behaviour that causes significant interference with convention operations, excessive discomfort to other attendees, or adversely affects Kitacon’s relationship with its guests, its venues or the public may result in permanent suspension of membership and expulsion from the event.

If you are banned from a Kitacon event, you are banned from all future Kitacon events. Banning information is passed along to other events on the convention scene, so this may also affect your ability to attend other conventions along with Kitacon.

Registration & Badges
  • You must be at least 18 years old on your first day at the convention. A valid form of photographic ID, such as a passport or driving license, will be required to prove this.
  • Only registered attendees may enter convention space, which will be clearly marked.
  • Other venue residents who are not registered with Kitacon (colloquially dubbed “loserconning”) may enter the public areas of the venue according to their individual contract with the venue.
  • You are required to wear your convention badge and event wristband prominently at all times, so that you can be identified and recognised as a member of the convention. Wristbands are not to be removed at any time until the convention is over, or they will be rendered void.
  • Changing or covering up any information on your badge (i.e. by using stickers or drawings, front or back) or altering your badge in any way is strictly forbidden.
  • If you have lost your room key, contact the accommodation desk immediately. Kitacon does not accept any liability resulting from lost room keys.
General Behaviour
  • Treat others respectfully. This applies to fellow attendees, convention staff, the venue staff and non-convention guests on-site as well.
  • You are liable for any damage you might cause to property howsoever caused.
  • Any lost property, either lost by yourself or found, should be reported immediately to Ops. All lost property is held by the Committee for up to 90 days, at which point it will be destroyed.
Clothing & Decency
  • Wearing, displaying or trading costumes, accessories or other items made out of real fur is strictly forbidden.
  • Display of any sign, symbol or clothing that is commonly associated with any organisation, party or political ideology likely to offend other guests is not permitted.
  • Display of adult-themed materials is not permitted in public areas of the venue. This includes (but is not limited to): room signs, fliers, business cards, posters and drawings on public message boards.
  • Bear in mind that while Kitacon runs 18+ events, the venue and surrounding areas do not have this age restriction.
Alcohol & Other Drugs
  • Should you partake of alcohol, you are expected to drink responsibly. You will be held liable for what you say and what you do, even if intoxicated.
  • Persons who are intoxicated to the point of incapacity may be escorted to their rooms or expelled from the convention and venue, at the discretion of the Committee and/or venue security.
  • Smoking is not permitted anywhere within the entirety of the venue buildings, this includes e-cigarettes. The venue will eject the residents of any room where someone has been smoking. Smoking on venue room balconies is not permitted.
  • The only permitted smoking areas are outside buildings in the designated smoking areas.
  • The possession, consumption or sale of illegal substances (including, but not limited to: THC, LSD, Ecstasy, Amphetamines, etc.) will not be tolerated. Attendees found in possession of such substances will be arrested, handed over to the police and indefinitely banned from the convention.
  • The abuse of any other substances, such as nitrous oxide (“NOS balloons” and capsules), alkyl nitrites (“poppers”), glue, “legal highs” etc. will also get you immediately expelled and indefinitely banned from the convention.
General Venue & Accomodation Rules
  • It is strictly forbidden to throw, drop or push any objects out of windows, from balconies, galleries or similar parts of the building. Violators will be expelled from the convention and venue.
  • Attendees may not enter the service areas of the venue. This includes all backstage areas, service elevators, the rooftops, emergency exits and all areas marked as “Staff Only”. If found in any of these areas, you will be escorted from the venue and banned from future Kitacon events.
  • Be respectful of other patrons; this means no sitting on the floors whilst queuing, keeping volume to an acceptable level, etc.
  • Tampering with any fire-protection devices – in particular, disabling smoke-detectors or malicious triggering of fire doors or alarms – is illegal, therefore prohibited and will result in expulsion from the event and liability for any damages or associated costs.
  • If you wish to wear Body Paint, it must be smear-proof and not transferable to any other persons or surfaces. General clothing decency rules still apply. This rule also applies for glitter, body spray, hair products, etc and cosplay finishing such as paint, glue etc. Any damages to accommodation or venue areas due to any of the above products will be chargeable to your room, and may result in expulsion.
  • Do not deliberately crack open glow-sticks or similar items containing dyes, sticky, or corrosive material. As above, any damage done via these substances will result in a charge/expulsion from the venue.
  • The sale of any kind of merchandise outside of the dealers room is not permitted.
On-site Rooms & Privacy
  • You are expected to treat the accommodation rooms and property of the venue reasonably and with care. You will be held personally liable for any damage you may cause.
  • It is strictly prohibited to allow non-residential attendees to sleep in your room. Violators may be expelled and held liable for compensation claims of the venue.
  • The cleaning crew is required to check your room at least once a day. “Do Not Disturb” signs may therefore only be respected until 10:00 am.
  • You must not disturb people in any other rooms. Keep the noise down after midnight. If you are asked to reduce noise more than twice you may be required to stop what you are doing and this may result in further action from convention or venue staff including expulsion.
Weapons, Lookalikes & Dangerous Items
  • All weapons, including look-alikes, replicas, tools and toys must be approved by Kitacon Cosplay Officers immediately after your registration on-site. To do so, bring your weapon to Cosplay HQ ASAP.
  • For detailed information on what type of weapons are generally acceptable, refer to the official weapons guide.
  • Mock fights, swordplay, fire breathing or any other activities that may adversely affect bystanders or venue property are not allowed. Any props, weapons or items which utilize compressed gasses, pyrotechnics (including flash paper) or dry ice are not permitted under any circumstances.
  • Kitacon Cosplay Officers require all approved weapons and props to be peace-bound/tagged. Tampering with the tag is not allowed and will invalidate the clearance immediately. The bearers of props or weapons not bearing the approved tag will automatically be directed to Cosplay HQ for a weapons check.
Photography & Videotaping
  • Kitacon reserves all rights to video and photo material gathered by their VideoHub team taken in public convention areas and convention rooms. This does not include attendee residential rooms.
  • Kitacon grants you the right to use videos and photos you have taken at the convention for private and/or non-commercial purposes. For large scale photography or filming shoots, permission must be granted by the Kitacon Committee.
  • Publication in for-profit media (such as press, television or other commercial mass media) requires written permission by Kitacon. Any persons wishing to do this, must contact Kitacon and obtain a Press Pass for the event. Permission must be obtained two weeks prior to the event and an agreement with Kitacon must be signed. If caught filming/shooting without said permission, consequences may include: temporary loss of equipment, friendly warning, or removal from the venue.
  • Other restrictions or rules may apply for certain events, and will be announced on location.
The Bottom Line
  • When in doubt, ask – preferably before the convention starts – by emailing info@kitacon.org. We will gladly answer all of your questions.
  • These rules will not be debated during the convention. The Kitacon Committee will, however, be available to speak with you in case you feel you have been incorrectly or wrongly accused of violating any of the rules.
  • Decisions by the Kitacon Committee and/or Venue are final.
  • The Kitacon Committee reserves the right to impose any and all sanctions against violators of these rules or those persons involved in any other unacceptable behaviour. The definition of unacceptable behaviour remains at the sole discretion of the Kitacon Committee. Sanctions may range from a friendly reminder to an indefinite ban from the convention.
  • Staff of the venue for the event also hold the right to remove you from the premises if you are in violation of the venue rules and regulations.
  • While the Kitacon Committee encourage all attendees to get involved with the evening parties, over-indulging in alcohol can lead to behaviour that can have an adverse affect on not only yourself, but the convention in general. In short: don't be a dick!
Terms & Conditions

Before registering for a place at Kitacon Wonderland, make sure you read our terms and conditions of registration below.

Kitacon Events Committee Ltd. reserves the right to amend the following Terms and Conditions without notification.

General Terms & Conditions
  • You are 18 years old, or older, on the first date of the event.
  • You recognise that you will need an officially recognised form of identification which includes:
    • A valid and in-date passport.
    • A full or provisional photo driving license.
    • A Prove It card.
    • Citizen Card.
    • Connexions card.
    • Validate UK card.
    • Young Scot card – the latest version with the PASS hologram only.
    • Armed Forces photo identity card.
    • l Identity card.
  • Other Identification may be accepted at the discretion of the Kitacon Events Committee Ltd committee, although this must be confirmed in advance.
  • Non-Photographic IDs such as birth certificates will not be accepted. Contact registrations@kitacon.org for confirmation.
  • Kitacon Events Committee Ltd will refuse entry under all circumstances if correct ID is not presented. In this situation no refund will be issued.
  • In the event that the use, or attempted use, of forged identification is detected, entry to the event will be refused and refunds will not be issued under any circumstances. If such attempts are detected in advance of the event, the concerned member’s registration will be cancelled and refunds will not be issued.
  • All circumstances of attempted use of forged identity documents will be reported to the Police.
  • Kitacon is not a ticketed event but rather a private member event. Payment for your registration permits access to a singular member’s event.
  • Kitacon Events Committee Ltd reserves the right to keep an electronic copy of any identification presented during badge collection, such copies will be secured in an encrypted, access controlled system for the duration of the event. Further details of which are available on request.
  • You must keep the badge identification provided by the Kitacon Wonderland Registration Team visible at all times during the convention. You must surrender the badge identification at the request of the Chairman. In the event of this you will be required to leave the convention floor and a refund will not be issued.
General Registration Terms
  • It is your responsibility to check your registration details; mistakes made in the registration process cannot always be rectified.
  • You agree to provide us with contact details, for legal and emergency reasons.
  • Anyone found to be using a false name or other details will be removed from the venue and banned from all future events as per section 1.
  • If your chosen badge name is deemed innappropriate by the decision of the committee, you will be required to provide us with a suitable alternative. If you refuse, it will be changed for you. Further protest will result in the ticket being refunded.
  • A registration shall not be used for advertising, promotions, contests or sweep stakes, unless formal written permission is given by Kitacon Events Committee Ltd., provided that, even if such consent is obtained, use of Kitacon Events Committee Ltd.’s trademarks and other intellectual property is subject to the prior consent of Kitacon Events Committee Ltd.
  • You agree that you will provide payment, in full, upon registering your membership and recognise that failure to do so may result in your space being released.
  • This payment limit can be adjusted at any point by Kitacon Events Committee Ltd. without notification. If this occurs you agree to pay by the revised set payment deadlines. No action will be taken regarding registrations expired due to changes in payment deadlines.
Cancellation & Registration
  • If you wish to cancel your registration, we will offer a refund of your registration fee minus a £15 administration fee (up until a month before the event).
  • Registrations and Alterations will be available up until a month before the event. For further info, contact registrations@kitacon.org.
  • In the event that you inform Kitacon Events Committee Ltd. of your inability to attend and a refund is not issued, you agree that your registration will be cancelled and that space made available to another registrant.
  • The unlawful resale (or attempted unlawful resale) of a membership or ticket is grounds for seizure or cancellation of that membership or ticket without refund or other compensation.
Event & Venue Security
  • You agree to abide by the rules of the convention surrounding members laid down by the Kitacon Committee. To prevent confusion, Kitacon specific rules are determined to apply to the entire site (including adjoining grounds) for the period of the event.
  • All members must abide by any hotel or venue rules. Kitacon Events Committee Ltd. accepts no responsibility for any damages caused by attendees over the weekend and will pass on any costs that arise due to the behaviour of an attendee.
  • Although every precaution is taken over the safety and security of all our members, ultimately we cannot be held responsible for the individual actions of any of our attendees.
  • In the event that a member is found causing offence or otherwise disrupting the convention atmosphere, appropriate action will be taken by the committee in accordance with set guidelines.
  • You agree that Kitacon Events Committee Ltd. will not be held liable for the actions of any of its members, but that Kitacon Events Committee Ltd. will comply with any legal request in such matters.
  • You recognise that the committee have the right to refuse entry to any member who has registered and who has committed a bannable offence at previous Kitacon Events Committee Ltd. events. Kitacon Events Committee Ltd. reserves the right to remove any member from the convention at their own discretion. If you register and have been notified of being on the Kitacon Events Committee Ltd. banned persons list, a refund will not be issued under any circumstances.
  • You agree that in the event that you are banned from a Kitacon event your details will be stored in line with GDPR to maintain your ban.
  • Kitacon Events Committee Ltd. will comply with all Police or other governmental, regulatory body or venues’ official requests for information. By registering, you acknowledge that your information can be used in this way without limitation.
  • You recognise that, with regards to floor Cosplay Weapons, the committee have the final say and can remove it from your person and store it in the Operations Centre, where it can be picked up for Masquerade use only and again when you leave the convention. Kitacon reserves the right to refuse access to the convention floor until the weapon is either removed or safely stored. The Cosplay Guidelines extend to the entire complex and its surrounding grounds.
  • Kitacon Events Committee Ltd. reserves the right to monitor its members through both electronic and manual means over the course of its events. In the event such monitoring is used, all members potentially affected will be notified wherever possible.
  • Registration holders consent to filming and sound recording as members of the audience in any events and in all public areas. Public areas consist of any venue communal areas.
Liability
  • Kitacon Events Committee Ltd. makes every effort to ensure the security of any information stored within its organisation. In the event of a breach, Kitacon Events Committee Ltd. will be liable for a sum of no more than £0.01 per membership.
  • Kitacon Events Committee Ltd. is not liable for failure to perform its contracted obligations if such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane or other natural disaster), nuclear event, war, invasion, act of foreign enemies, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalisation, government sanction, blockage, embargo, labour dispute, strike, lockout or interruption or failure of electricity or telephone service.
  • It is your responsibility to ascertain whether an event has been cancelled and the date and time of any rearranged event. If an event is cancelled or rescheduled, we will use reasonable means to notify registration holders of the cancellation. We do not guarantee that registration holders will be informed of such cancellation before the date of the event.
  • In the event of total event cancellation, “Kitacon Wonderland" will endeavour to offer a registration for another event hosted by Kitacon Events Committee Ltd. In the event of this being impossible, Kitacon Events Committee Ltd will refund all fees paid within 12 months of the date that the event was due to be held, or from the date it was cancelled, whichever is sooner. In the event of a similar event being organised following any of the above circumstances, for these reasons, registration fees will not be refunded.
  • In the event of any one clause of this contract being deemed unlawful, all other clauses will remain in effect.
  • Kitacon Events Committee Ltd. reserves the right to alter these terms and conditions at any times without prior notice. Notification will be granted upon official request to chairman@kitacon.org.
  • Unless the previous section applies, Kitacon Events Committee Ltd. shall have no further liability beyond the sale value of the registration purchased. Kitacon Events Committee Ltd. shall not be liable for any loss of enjoyment or wasted expenditure. Personal arrangements including travel, subsistence and accommodation relating to the Event, which have been arranged by you, are at your own risk.
  • Nothing in these terms and conditions seeks to exclude any liability of Kitacon Events Committee Ltd. or its Event Partners for death or personal injury caused by its negligence, fraud or other type of liability which cannot by law, be excluded or limited.

All of these terms and conditions are governed by English Law and any disputes arising out of any transactions or other interactions with Kitacon Events Committee Ltd. are subject to the exclusive jurisdiction of the English Courts.

We may share Your personal information in the following situations:

  • With Service Providers: We may share Your personal information with Service Providers to monitor and analyze the use of our Service, to contact You.
  • For business transfers: We may share or transfer Your personal information in connection with, or during negotiations of, any merger, sale of Company assets, financing, or acquisition of all or a portion of Our business to another company.
  • With Affiliates: We may share Your information with Our affiliates, in which case we will require those affiliates to honor this Privacy Policy.   • With other users: when You share personal information or otherwise interact in the public areas with other users, such information may be viewed by all users and may be publicly distributed outside.
  • With Your consent: We may disclose Your personal information for any other purpose with Your consent.
Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.

Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company’s operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to — and maintained on — computers located outside of Your city, county, country or other governmental jurisdiction where the data protection laws may differ than those from Your jurisdiction. Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of Your data and other personal information.

Disclosure of Your Personal Data

Business transactions

If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.

Law enforcement

Under certain circumstances, the Company may be required to disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

Other legal requirements

The Company may disclose Your Personal Data in the good faith belief that such action is necessary to:

  • Comply with a legal obligation.
  • Protect and defend the rights or property of the Company.
  • Prevent or investigate possible wrongdoing in connection with the Service.
  • Protect the personal safety of Users of the Service or the public.
  • Protect against legal liability.
